Key Responsibilities

  • Manage and organize the inbox, efficiently handling incoming emails, prioritizing tasks, and responding promptly to inquiries and requests.
  • Take charge of ClickUp, ensuring it is effectively organized and up-to-date with tasks, deadlines, and project details.
  • Provide assistance with invoicing tasks as needed, such as creating and sending invoices, tracking payments, and following up on outstanding balances.
  • Coordinate and manage client’s availability to optimize productivity and balance workload.
  • Jump in and assist with ad hoc tasks and projects as needed, demonstrating flexibility and the ability to contribute to various areas of the business.
  • Utilize platforms like ClickUp, Google Workspace, and QuickBooks proficiently to carry out assigned tasks and support the smooth operation of the business.
  • Continuously seek opportunities to learn new skills and technologies, adapting to changing needs and enhancing your ability to provide assistance.


  • Experience as a Virtual Assistant or Executive Assistant is a plus, with a solid understanding of administrative tasks and workflows.
  • You MUST be available during regular business hours.
  • Eagerness to learn new skills and a genuine desire to be helpful are essential qualities for this role.
  • Tech-savviness is a must, with the ability to quickly adapt to and efficiently navigate various software and online platforms.
  • Intuitive organizational skills to anticipate needs, prioritize tasks, and manage time effectively.
  • Strong attention to detail, ensuring accuracy in all deliverables and maintaining consistency with established guidelines.
  • Dependability to consistently deliver high-quality work, meet deadlines, and communicate effectively.
  • Availability to work 10-15 hours per week, with approximately 2 hours daily from Monday to Friday, and flexibility to increase availability if needed.
  • Must be located in the Eastern Standard Time (EST), Central Standard Time (CST), Mountain Standard Time (MST), or Pacific Standard Time (PST) time zones.
