Studio Manager at FLAT26

We are looking for a Studio Manager to help us take care of our design studio administration and manage projects from initiation to completion. We need someone who ensures that the work gets done efficiently and satisfactorily.

The tasks will vary depending on the project, including planning project processes, creating budgets, managing a team, and communicating with clients.

RESPONSIBILITIES:

Plan and Develop the Project Idea:

Every project starts with an idea. You will work with the FLAT26 team and/or external clients to define a concept and create the process that will bring the idea to life. This involves setting and managing client expectations, developing a detailed project plan, defining the project scope, understanding project risks, and assigning team members to specific tasks.

Create and Lead a Team:
You will establish and lead teams capable of meeting client expectations. To maintain a dynamic team mentality, you should foster open and honest communication, form working relationships, and motivate anyone who needs it.

Monitor Project Progress and Set Deadlines:
Organization and follow-through are integral to the role. You will create accurate timelines to ensure tasks are completed within the assignment’s constraints. You should also be able to anticipate delays that may arise on the client side and inform the team of any changes in the client’s needs.

Resolve Issues That Arise:
During every project, there will be issues that will need to be solved. You will be the main contact to solve them.

Accounting:
Budget management is another critical aspect of the role. You will create quotes and manage budgets.

Communication with Clients and Suppliers:
You will maintain the closest relationship with clients and suppliers. Therefore, it’s important to keep open lines of communication for updates and feedback.

Evaluate Project Performance:
After a project is finished, you will assess its efficiency and effectiveness.

Part time 20h/week – We are flexible with the organisation of the working hours

TASKS

Some of the daily tasks will be:

– Client’s onboarding
– Workflow creation and management.
– Quotes creation and invoices issuing
– Creation of project proposals (Google Slides)
– Attend and/or lead online meetings with clients
– Lead the communication with clients and suppliers (via email)
– Presentation of projects and design proposals
– Organise client’s feedback and requests
– Creation of project agreements
– Monitoring and assignment of tasks to the team
– Email meeting recaps
– Lead and attend project Status Meetings
– Manage tasks, client’s feedback and deadlines within our Notion workspace.
– Project Report creation
