Location: Toronto, Ontario (a fully remote role in Canada may be considered)

Job Type: Full-Time, 1-year contract with a possibility of extension

Start Date: March 2023

Work Hours: 37.5 hours per week

Salary: CAD 65K – 70K

ABOUT THE ROLE

The Project Manager will be responsible for providing project management support to a portfolio of international programs managed by the Technical Department and acting as a key support for the Global SMART Initiative and for the Technical Support Team of the Global Nutrition Cluster Technical Alliance, IPC AMN and other projects under the technical portfolio.

JOB RESPONSIBILITIES

Project Implementation

  • Maintain regular contact with Project Managers within the Technical Department regarding project progress, context, and challenges faced.
  • Coordinate responses to the donor on project questions that arise during the life of the project, in collaboration with Project Managers and technical teams.
  • Ensure the development and application of internal monitoring tools for grant management in collaboration with other Action Against Hunger staff.
  • Support Project Managers in the development of project workplans and project budget planning. This includes conducting regular follow up to assess overall execution levels.
  • Contribute to technical activities and/or specific initiatives ongoing within the Programs and Technical Departments as delegated.
  • Support the financial pipeline analysis at program, project, and activity levels for both restricted and unrestricted funds.

Grant Management and Administration

  • Establish and coordinate a donor reporting plan and system for programs in the Nutrition Department, that include key M&E components for reporting purposes.
  • Lead in writing all narrative, progress, and baseline reports in close collaboration with technical managers.
  • Coordinate and review all financial reports prepared by the Finance and Donor Compliance Manager.
  • Lead in submission of reports to donors or prime recipients in a timely and complete manner.
  • Prepare and coordinate all processes related to sub-awards and necessary amendments for projects managed by the Technical Department.
  • Review new and current donor agreements and regulations and provide guidance and support to Technical Department team members in applying those regulations in collaboration with the Finance and Donor Compliance Manager.
  • Coordinate and support the use of budget codes for all Technical Department transactions.
  • Support technical teams in facilitating donor concurrence requirements and submissions for concurrence whenever required.
  • Coordinate the development and implementation of grant and contract management processes for the Technical Department.
  • Coordinate the development of a Monitoring, Evaluation, Accountability and Learning plan and support specific initiatives within the Technical Department as delegated.

Leadership and Staff Development

  • Provide leadership and supervision to the Project Officer role.
  • Conduct regular one-on-one meetings with a focus on providing feedback, planning, eliminating roadblock, and individual coaching for the Project Officer.
  • Support the Project Officer in establishing performance Goals and conduct regular performance appraisals.
  • Provide coverage in the Project Officer’s absence.

General

  • Attend planning sessions, team meetings and annual performance reviews as required.
  • Pro-active exchange and collaboration with Action Against Hunger Canada team members and the International Network.
  • Ensure an on-going process of personal professional development and learning.

Requirements

QUALIFICATIONS AND EXPERIENCE

  • A Master’s Degree in a relevant field related to Social Sciences, Development, Nutrition or Gender studies, and/or equivalent experience gained.
  • A minimum of 5 years of experience working with an international organization in a project management role.
  • Demonstrated experience in grants management, budgetary oversight, and compliance.
  • Demonstrated experience working with institutional donor funding and grant agreements.
  • Previous experience working within a humanitarian/development, gender, or nutrition program.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER ATTRIBUTES

  • Fluency in English and French in both oral and written communications (fluency in Spanish or Arabic would be considered an asset).
  • Basic knowledge of procurement and logistics procedures and compliance.
  • Financial literacy skills.
  • Strong organizational and planning skills.
  • Strong verbal and written communication skills including demonstration of cultural awareness, diplomacy, and tact.
  • Ability to work independently and under tight deadlines, and to multi-task.
  • Positive attitude and strong analytical, interpersonal and coordination skills.
  • Commitment to Safeguarding and Gender Equality principles.
  • Understanding of the creation of an enabling environment for Gender Equality and Safeguarding in the workplace and in programming.
  • Understanding and commitment to humanitarian principles including the Core Humanitarian Standard (CHS).
  • Excellent knowledge of MS Office Applications (Word, Excel, PowerPoint).

WORK CONDITIONS

  • Office setting or work from home.
  • Required to be seated whilst completing computer and desk-based tasks for long periods.
  • Prolonged or irregular working hours in times of crises or as required.
  • Occasional international travel.
