This role supports the day-to-day production flow for the Creative Services team by intaking requests, creating and updating Jira tickets, and keeping project details organized from kickoff through delivery. You’ll work closely with the creative manager, designers, copywriters, and marketing partners to confirm required inputs, keep timelines visible, and help projects move through reviews and approvals. You’ll also provide light copy support as needed (quick edits, short-form copy, headlines, and internal/client-facing notes) to help work stay on track.
SCOPE OF WORK:
- Own day-to-day intake and traffic: receive requests, confirm required inputs, and route work to the right team members
- Build and manage Jira tickets (brief accuracy, owners, due dates, statuses) and maintain clear project visibility
- Maintain production schedules; balance capacity, flag resourcing conflicts, and help prioritize against deadlines and business needs
- Facilitate kickoff and documentation: gather missing details (audience, channel, specs, stakeholders, approvals) and align on timelines
- Track dependencies and approvals; monitor review cycles, follow up, and escalate risks (scope changes, missing approvals, shifting priorities)
- Apply project governance (naming conventions, version control, required fields, standardized workflows) to reduce rework and protect quality
- Support reporting and continuous improvement (dashboards/status updates, bottlenecks, cycle time) and recommend process updates
- Provide occasional writing support (light copy, quick edits, short headlines, internal communications, summarizing feedback)
CORE SKILLS:
- Highly organized and deadline-driven; able to manage multiple projects without losing accuracy
- Strong Jira proficiency (tickets, workflows/statuses, fields, boards, basic dashboards/reporting)
- Clear, friendly communicator who clarifies needs, asks the right questions, and follows up to confirm next steps
- Process-minded: follows established workflows, naming conventions, and governance standards to keep work consistent and reduce rework
- Working knowledge of creative production lifecycles (brief → draft → review → revisions → final)
- Clear, concise writing/editing fundamentals for light copy support
QUALIFICATIONS:
- 3+ years in creative operations, traffic/project coordination, production coordination, or agency/in-house workflow support
- Hands-on experience scheduling and managing work in Jira (or comparable tool); Jira strongly preferred
- Working knowledge of common creative deliverables/specs across email, web, social, print, and digital advertising
- Able to manage competing priorities with a calm, solutions-oriented approach in a fast-paced environment
- Comfortable providing occasional light writing/editing support

Experience a Plus:
- Workfront, Smartsheet, Asana, or similar workflow tools
- Basic reporting/dashboarding (Jira dashboards, Excel pivots, etc.)
- Familiarity with creative tools and file governance (Adobe Acrobat, Figma, SharePoint/OneDrive)
