Operations Associate

Role Overview:
Galvix is seeking an Operations Associate with a passion for delivering exceptional customer experiences and a deep commitment to learning. You will play a critical role in executing our sales tax compliance services for our customers in US. This is a 100% remote position for candidates based in India, with working hours overlapping the US Eastern Time Zone (i.e. 6pm to 2am IST, Monday to Friday)

Key Responsibilities:
You will handle day-to-day tax operations including new registrations, login management, filing coordination, and quality checks.

Product Expertise:

• Develop a deep understanding of Galvix’s SaaS platform and US State portals.
• Develop a hands-on expertise in performing activities required for tax compliance workflows at Galvix

Tax Operations & Compliance execution:

• Handle new state registrations for customers
• Manage, verify and maintain state e-filing accounts
• Ensure customer accounts are correctly configured for ongoing compliance activities

Audit & Quality Checks:

• Perform periodic audit of accounts to ensure all input configurations are complete & correct
• Perform periodic audit of filed returns to verify accuracy, completeness and submssion status
• Identify discrepancies or errors and coordinate corrective actions

Coordination and Support:

• Coordinate with teams to ensure all tax returns are filed on time and accurately
• Proactively followup to prevent missed filings or delays
• Interact with Department of Revenue helplines to seek resolutions to outstanding issues
• Support resolution of customer-raised issues & tickets

Documentation & Process Adherence:

• Follow established SOPs, checklists, and workflows consistently.
• Update internal trackers, notes, and documentation for transparency and traceability.
• Support continuous improvement of tax operations processes.

Required Skills:

• Ability to quickly learn and understand new software and technical concepts.
• Strong attention to detail and accuracy in execution-heavy work.
• Ability to understand, follow, and consistently apply detailed instructions.
• Good coordination and tracking skills.
• Basic proficiency with spreadsheets, web portals, and online tools.

Preferred Qualifications:

• Graduates keen to learn and grow in fast paced environment
• 1-2 years previous experience in operations, support or similar roles is a plus.
