Description of the offer

Oversee all agency operations, delivery, and systems while driving growth, marketing performance, and scalability. The COO ensures the agency runs smoothly across brand, content, and web, balancing structure, speed, and creativity to support the CEO’s strategic direction.

Build a high-performing, scalable agency ecosystem.
You align people, systems, and performance, turning CIELO into an autonomous, efficient, and profitable creative organization capable of operating at $100K+ MRR and beyond.

Key Responsibilities

  1. Operations & Delivery Management Own all ongoing projects across Brand, Web, and Content divisions.

Ensure timely delivery, high quality, and clear client communication.

Manage and empower department leads (Ops, Projects, Strategy, Creative, Tech).

Implement and enforce structured delivery systems and reporting cadences.

Build workflows that allow creative teams to move fast without friction.

  1. Systems & Automation Maintain and improve internal operations platform (CIELO OS – Notion, Jira, Supabase, n8n, Make).

Automate onboarding, proposals, reporting, and delivery pipelines.

Audit all tools monthly for speed, accuracy, and efficiency.

Translate strategic goals into process maps and operational blueprints.

  1. Growth & Marketing Operations Partner with Sales and Marketing leads to scale client acquisition.

Oversee marketing campaigns, outbound performance, and conversion funnels.

Manage lead sources, CRM performance (Apollo, Notion), and ROI tracking.

Identify and execute high-leverage marketing initiatives that drive growth.

  1. Brand & Aesthetic Alignment Maintain the agency’s creative and brand standards in collaboration with the Creative Director.

Ensure all deliverables reflect CIELO’s visual and experiential quality.

Balance creative excellence with operational efficiency.

Protect brand consistency across platforms, communication, and presentation.

  1. Finance & Profitability Oversee financial operations with the Operations Manager.

Track P&L, margins, and project profitability.

Approve quotes, invoices, and payment collections.

Manage budgets, forecast revenue, and support financial planning.

  1. Leadership & Team Development Lead department heads through weekly syncs and structured reporting.

Establish KPIs for performance, delivery, and accountability.

Create clarity in roles, decision rights, and communication.

Build a strong internal culture of ownership, precision, and creative excellence.

Client Retention: 90%+

On-Time Delivery: 95%+

MRR Growth: Target $50K–$80K

Profit Margin: 30–40%

Team Reporting Compliance: 100%

Automation Efficiency: 90% of internal workflows automated or semi-automated

Skills & Profile
5–10 years in agency operations, brand management, or marketing leadership

Deep understanding of creative delivery (brand, content, digital systems)

Strategic mindset with proven ability to scale service-based businesses

Fluent in Notion, Jira, Make/n8n, Supabase, Figma, Webflow, Slack

Experienced in marketing funnels, CRM, and digital growth strategy

Operational thinker with strong aesthetic awareness

Process-oriented, decisive, data-driven leader

Reporting Structure
Reports to: Chief Executive Officer

Direct reports: Department leads (Projects, Ops, Strategy, Creative, Tech)

Works closely with: Creative Director for brand and visual excellence

Compensation

Performance bonus based on MRR and profit milestones

Equity potential (0.5–2%) upon consistent performance and scale achievement
