We are working with our client to locate an Assistant Project Manager Consultant to provide project coordination and administrative support for a growing portfolio of work.

This role is ideal for someone who thrives in a fast-moving environment with many concurrent activities and has exceptional attention to detail, organization, and follow-through. The Consultant will work closely with the Project Manager to keep multiple project plans, schedules, meetings, and team activities organized and aligned.

A significant component of the role will involve maintaining and reconciling project information across multiple tracking systems, including Smartsheet and Excel. Because project details and timelines change frequently, the successful candidate will be comfortable managing detailed, repetitive updates while proactively following up with team members to ensure information remains current and accurate.

Key Responsibilities:

  • Maintain and reconcile multiple project plans and trackers across Smartsheet, Excel, and other project systems, ensuring information remains accurate and aligned.
  • Monitor project activities, timelines, and status updates and identify when dates or project information need to be adjusted.
  • Proactively follow up with project team members to obtain status updates, clarify outstanding information, and ensure action items are completed.
  • Provide scheduling and logistical coordination for virtual and onsite meetings, including reserving meeting rooms, coordinating schedules, and sending meeting invitations.
  • Attend recurring project meetings to stay informed of project activities, priorities, dependencies, and changes.
  • Support the Project Manager in managing a high volume of concurrent tasks and moving pieces.
  • Maintain organized and accurate project documentation and administrative records.
  • Communicate effectively with internal project team members and provide limited coordination support with external stakeholders as needed.
  • Assist with additional project coordination and administrative activities as project needs evolve.

Start Date: October 5th, 2026

Duration: 6+ months with the possibility of an extension.

Hours: Approximately 20 hours per week initially, with hours expected to increase to full-time based on project needs.

Location: 100% Virtual

Experience Required:

  • Demonstrated experience in project coordination, project administration, assistant project management, or a similar role.
  • Strong proficiency with Smartsheet, including maintaining and updating project plans and trackers.
  • Proficiency with Excel and experience maintaining detailed project information across multiple systems.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational skills with the ability to manage a high volume of simultaneous tasks, schedules, and changing priorities.
  • Demonstrated ability to proactively follow up with team members, ask clarifying questions, and drive outstanding items to completion.
  • Experience coordinating meetings, calendars, rooms, invitations, and other project logistics.
  • Strong written and verbal communication skills.
  • Ability to work effectively as part of a collaborative, cross-functional team.
  • Experience supporting learning, training, or similar programs is helpful but not required.
  • Experience within the oil and gas or energy industry is a plus but is not required for success in the role.
  • Ability to work exclusively on a PC throughout the project is required.

The pay range for this is $30.00 to $35.00 per hour W2. Individual pay is determined by a number of factors, including but not limited to skill set, depth of experience, relevant education, certifications and specific work location.
