Personal Assistant

🏢 Colibri Group 📍 United States 📅 Posted Sep 18, 2026

Job Overview & Description

We’re looking for a Personal Assistant who is organized, trustworthy, thoughtful, and good at making busy days feel a little more manageable.

This role is about more than keeping a calendar up to date. You’ll help manage schedules, stay on top of appointments and commitments, handle day-to-day tasks, and make sure important details don’t get missed.

You’ll often be working independently, so we’re looking for someone who can use good judgment, keep information confidential, and recognize what needs attention without always being asked.

Every day may look a little different, and that’s part of what makes the role interesting.

What You’ll Do

  • Manage calendars, appointments, meetings, and personal commitments.
  • Keep track of schedules, deadlines, reminders, and important dates.
  • Coordinate travel arrangements, reservations, transportation, and itineraries when needed.
  • Organize emails, messages, documents, and other correspondence.
  • Make phone calls and handle routine communication on behalf of the person you support.
  • Help with personal and professional errands and day-to-day tasks.
  • Coordinate with service providers, vendors, offices, and other contacts.
  • Help organize events, dinners, meetings, and special occasions.
  • Research and gather information when needed.
  • Keep records, receipts, and other important information organized.
  • Handle confidential and personal information with discretion.
  • Anticipate needs, follow up on outstanding tasks, and help keep priorities on track.
  • Take on occasional projects and unexpected tasks as they come up.

What We’re Looking For

The right person doesn’t have to be perfect or know everything from day one. What matters most is that you’re dependable, attentive, and someone who can be trusted.

You’ll likely be a strong fit if you:

  • Are highly organized and naturally good at keeping track of details.
  • Have strong time-management and follow-through skills.
  • Communicate clearly, respectfully, and comfortably with different people.
  • Can handle confidential information with maturity and discretion.
  • Are comfortable working independently and making sensible decisions.
  • Stay calm when plans change or unexpected things come up.
  • Are proactive and notice what needs to be done.
  • Are comfortable using calendars, email, spreadsheets, and everyday technology.
  • Have a flexible, can-do attitude and aren’t afraid to pitch in.
  • Understand that small details can make a big difference.

Previous experience as a personal assistant, executive assistant, administrative assistant, coordinator, or in a similar role is helpful. We’re also open to people from other backgrounds who have strong organizational skills and a genuine ability to manage responsibilities independently.

What We Offer

  • A respectful and supportive working relationship.
  • Clear expectations and the opportunity to build trust over time.
  • Variety in your day-to-day work.
  • Opportunities to take ownership and make the role your own.
  • [Competitive compensation]
  • [Paid time off]
  • [Health and other benefits, if applicable]
  • [Remote ]

The Person We’re Hoping to Find

We’re looking for someone who can be counted on.

Someone who remembers the details, follows through, speaks up when something needs attention, and understands that being a great assistant often means quietly making things easier for someone else.

If you’re organized, discreet, resourceful, and take pride in being dependable, we’d love to hear from you.
